Refunds
A refund on a student account may only be made if the account is in true credit balance status (meaning the account balance is less than zero). Refunds may not be issued against credits that are authorized, memoed, or pending.
If a credit balance results from Federal Title IV disbursement (Direct Loans, Pell Grants and SEO Grants) as defined by the U.S. Department of Education, the refund will be issued automatically to the student. If a credit balance results from a PLUS Loan, the refund will be issued to the parent borrower of the loan, unless either (1) the parent borrower has authorized the refund to be issued to the student via their loan application, or (2) the total credit amount exceeds the amount of the PLUS loan.
Refunds other than from Title IV funding may be requested using the online Refund Request Form (myOxy, Student Services Tab). Refunds are processed each Wednesday, so the Refund Request Form must be submitted by no later than 8 am Wednesday of the week the student wishes the refund to be processed.
Refunds are issued in two (2) ways:
- If the student has set up an account for e-refunding, this will be the default method. The student should receive the refund within two to four business days; typically either Friday afternoon, over the weekend, or on Monday.
- If the student has not set up an account for e-refunding, the funds will be delivered by check and should be expected to arrive within 1 to 2 weeks.
Students who fully withdraw their registration or begin a non-medical leave of absence on or after the first day of class in a given semester may be eligible for prorated tuition, depending upon the time of the withdrawal.* Students must give written notification to the Registrar of their decision to withdraw and complete all withdrawal procedures to be eligible for any proration of tuition.
Tuition will be prorated as follows:

**Days of classes are defined as any business day when classes are held.
**Room charges are prorated on the Tuition withdrawal schedule. Meal Plan charges will be prorated based on usage. No adjustment will be made to mandatory fees and student health Insurance fees. No adjustment except for board will be made to a student who is suspended, dismissed, expelled, or asked to leave the College for any reason. Student financial aid will be prorated according to published guidelines and government regulations.
Status Change from Full-Time to Part-Time
The College reduction of tuition policy for students dropping from full-time status (twelve or more units) to part-time status (eleven or fewer units) is effective only for changes in status during the first five weeks of the semester. Students who successfully petition for part-time status on or before the 26th day of classes will be billed on a per-credit basis . After the 26th day of classes, no tuition adjustment will be made and the student will be billed at the standard full-time rate.
Any status change that results in a credit, partial or otherwise, of tuition, room, board, and fee charges may affect the student鈥檚 financial aid award, which may in turn result in a balance on the student鈥檚 account that would be due and payable by the student.
